3CX Phone System
Business calls, connected teams and smarter customer service
A business phone system that works wherever you do
What is hosted 3CX?
Hosted 3CX is a software-based business phone system running in the cloud. Your team connects over the internet using the 3CX web client, mobile apps or compatible IP desk phones, without keeping a PBX server in the office.
Bring office, home and branch users into one calling environment. Give customers a consistent business number and a clear route to the right person, with call handling built around your working day.
Talk to Exascale about a hosted 3CX solution that fits your team, call traffic and connectivity. Start with the conversations your business needs to handle, then choose the right licence, devices and service arrangements.
Make every business call easier to handle
Use the 3CX web client or iOS and Android apps to make and receive work calls. See colleague availability and transfer callers without tying every user to a desk.
Ring several colleagues together or in a defined order. Queues hold incoming calls while agents are busy, with routing and overflow destinations chosen for your team.
Guide callers to sales, support or another department using a digital receptionist. Plan separate routes for opening hours, holidays and unanswered calls.
Supported CRM connections can show customer records and log calls, reducing manual lookups. Compatibility, permissions and the chosen 3CX edition need checking before deployment.
Use the reporting and queue tools available in the selected edition to understand demand, waiting times and agent activity. Agree the measures that matter to your service team.
Choose compatible IP phones or app-based calling with a headset. Check the exact phone model, firmware and remote-office connection method before reusing existing equipment.
The web client brings calls, colleague status and collaboration together. Video meetings and team messaging can help office and remote colleagues stay in touch.
Advanced contact-centre tools, recording, integrations and AI capabilities vary by edition and configuration. Your proposal should identify what is included, plus any third-party requirements.
Good calls start with good connectivity
Plan the whole service with Exascale
A hosted phone system depends on more than its feature list. Internet access, the office network, handsets and call routing all affect the experience of the person on the other end.
Bring your current setup to Exascale for a joined-up discussion about voice and connectivity. Review busy-hour call demand, home workers, branch offices and the systems your team already uses.
A useful design should cover connection quality, backup access, number porting, device compatibility and responsibility for ongoing changes. Agree the hosting location, backup arrangements and support scope in your proposal, so everyone knows how the service will be run.
Moving to hosted 3CX: a practical plan
Step 1
Map your requirements
List users, numbers, sites and existing contracts. Identify peak simultaneous calls, queue needs and essential integrations. Agree the edition, hosting, support scope and total service cost.
Step 2
Configure and test
Build extensions, greetings, business hours and call routes. Test inbound and outbound calls, transfers, caller ID, headsets and remote users before the main number moves.
Step 3
Move and review
Coordinate number porting and the changeover window. Train colleagues, keep a fallback plan and review call reports after launch to refine routes and staffing.
Hosted 3CX phone system FAQs
The total depends on the software edition, simultaneous-call capacity, hosting, SIP trunks, call usage, devices and the support you need. 3CX licenses systems by concurrent internal and external calls, with extension limits tied to the licence. Ask Exascale for an itemised proposal rather than comparing a software-only price with a complete service.
Existing numbers can often be ported, subject to provider checks and the numbers involved. Share your number list and current service details before setting a migration date. Keep the existing service active until the port and any linked services have been checked.
Yes. The 3CX web client and mobile apps let users work away from the office with an internet connection and the appropriate account setup. Test home broadband, headsets and mobile coverage as part of the rollout.
Not necessarily. Some existing IP phones may be reusable, but compatibility depends on the exact model, firmware and deployment method. Check the current 3CX supported-phone list before purchasing or committing to reuse. Users can also work with the apps and suitable headsets.
Size for your busiest periods, not just your headcount. Include internal calls and external calls, queue traffic and room for growth. Existing call records help establish peak demand. The 3CX licence and SIP trunk capacity both need to support the planned load.
Office devices need connectivity to reach the hosted system. Depending on the fault and configuration, staff may use a separate mobile connection or calls may follow a pre-agreed alternative route. Discuss backup internet and test the fallback plan; hosting alone does not make the office connection resilient.
3CX offers supported CRM and Microsoft 365 integrations, with availability depending on edition and configuration. Confirm the specific application, required functions and any third-party licences. Microsoft Teams calling is a separate integration requirement and should be scoped explicitly.
Define administrator access, authentication, updates, backups, recovery and who handles changes or incidents. If recordings are required, agree access and retention settings. Ask for the hosting location, support hours and service responsibilities to be documented in the proposal.
It can suit teams spread across multiple locations. Plan each site’s connectivity, devices, departments, numbers and out-of-hours routes. The right design depends on how calls move between your sites and which teams need to share incoming work.
